# Time tracking in Excel: setup, common mistakes and when to switch

Set up an Excel timesheet, avoid duration and date errors, and decide when a time-tracking app would make the process easier.

Excel is familiar to many teams and can be a practical starting point for simple time records. Problems often appear when several people update files, shifts cross midnight or different versions reach the person preparing the monthly report.

## Build a straightforward timesheet

Use one row per work interval, with separate fields for the date, start time, finish time and break duration. Calculate the net working time. Keep scheduled hours and absences clearly labelled so they are not mistaken for hours actually worked.

For a day that does not cross midnight, with the start time in B2, finish time in C2 and break duration in D2, a basic formula is:

`=C2-B2-D2`

The cells must contain valid time values. Entering “30 minutes” as text is not the same as entering a duration.

## Three errors that distort monthly totals

### 1. Formatting a duration as a clock time

A 32-hour total should not wrap around after 24 hours. Use a duration format such as `[h]:mm` and check it with a test total above 24 hours.

### 2. Ignoring the date change

Subtracting 22:00 from 06:00 gives a negative result if the spreadsheet does not know that the finish time is the next day. Include both dates and times. Daylight saving changes need additional care: an ordinary local spreadsheet time does not automatically account for the time zone.

### 3. Combining conflicting versions

Files named “final”, “final-new” and “corrected” do not make a reliable review process. Define a single authoritative location, clear responsibilities and a cutoff for each period. Keep relevant changes traceable.

## When a software trial is worthwhile

Consider a trial when manual cleanup becomes routine. For one week, record how much effort goes into chasing missing entries, checking project assignments and combining files. Test an app against the same tasks.

| Question | What to test |
|---|---|
| Can employees record time easily? | A typical workday and remote work |
| Can mistakes be resolved? | A forgotten finish time |
| Is access appropriate? | Own records and team permissions |
| Can the reviewer get the right report? | A realistic month-end check |

## A spreadsheet is not a compliance guarantee

Choosing Excel or an app does not replace checking your recording obligations. Germany’s [Federal Labour Court ruling](https://www.bundesarbeitsgericht.de/entscheidung/1-abr-22-21/) is one relevant source. Responsibilities and reliable day-to-day use still matter.

## Frequently asked questions

### Do we need to stop using the old sheet immediately?

Plan a clear transition date. Avoid keeping two conflicting sources indefinitely, and retain historical records according to the applicable requirements.

### Should we compare tools using sample data only?

Use representative working patterns as well as simple examples. Include the exceptions that currently cause the most work.
