Enter when you started, when you finished and how long you spent on breaks. The template calculates your recorded working hours and adds them up for the week or month. This guide shows you the actual file before you download it, walks you through opening it in Google Sheets and explains what to check before sharing your timesheet.

The download is an Excel workbook with two sheets that you can import into Google Sheets. The templates are free, contain no macros and do not require a Minutezilla account.

## Download the free timesheet templates

[Download the English timesheet templates](https://minutezilla.com/fileadmin/user_upload/timesheets/minutezilla-google-sheets-timesheets-en-20261017.xlsx)

The workbook includes a weekly sheet and a monthly sheet. Both use the same layout, so you can switch between them without learning a different process.

| Sheet | Best for | What it includes |
|---|---|---|
| Weekly | One working week | Seven daily rows, break deductions and a weekly total |
| Monthly | A calendar month | Dates based on your selected month and a monthly total |

Yellow cells are for your entries. Purple cells calculate the hours and show any entries that need checking. Two clearly labelled sample rows demonstrate a normal working day and an overnight shift.

## See what you are downloading

This preview comes from the downloadable workbook. The two sample entries add up to 16 hours. They help you check the calculations; replace them with your own entries before using the file. The cover image is an illustration.

## Open the file in Google Sheets

1. Download the workbook.
2. Open Google Sheets and create a blank spreadsheet.
3. Select **File → Import** and upload the Excel file.
4. Import it as a new spreadsheet.
5. Open the **Weekly** or **Monthly** sheet.

You can also upload the file to Google Drive, open it in Google Sheets and save it as a Google Sheets file. Google explains both methods in its [guide to using Excel files with Sheets](https://support.google.com/docs/answer/9331167?hl=en).

After importing, check the two sample rows before entering your own time. Each should show eight hours. This gives you a quick way to confirm that the formulas work as expected in your spreadsheet environment.

## Set up your week or month

Enter your name at the top. On the weekly sheet, set the week’s start date to the Monday you need. On the monthly sheet, enter the first day of the month, such as 1 November. The date rows update from that value, with unused days at the end of a shorter month left blank.

Replace the sample values in the yellow cells with your own entries. Leave the date and calculation formulas in place. Keep a separate blank master copy if you want an unchanged starting point for the next reporting period.

## Enter working hours and actual breaks

Complete the start time, finish time, next-day field and break minutes for each day. If you did not take a break, enter 0 rather than leaving the field empty. This lets the sheet distinguish an intentional zero from missing information.

| Field | Example |
|---|---|
| Start | 08:00 |
| Finish | 16:30 |
| Next day | 0 |
| Break in minutes | 30 |
| Calculated working time | 8.00 hours |

From 08:00 to 16:30, eight and a half hours have elapsed. After subtracting a 30-minute break, the working time is eight hours. A value of **7.75 hours** means seven hours and 45 minutes. Decimal hours divide minutes by 60; they do not use clock-style notation.

The sheet subtracts only the break you enter. It does not add statutory breaks or establish whether a break actually took place.

## Worked example: a 37.5-hour week

Here is what a completed working week could look like. These are illustrative entries, not a suggested work schedule. **Next day** is 0 for all five rows.

| Day | Start | Finish | Actual break | Working hours |
|---|---|---|---|---|
| Monday | 08:00 | 16:30 | 30 minutes | 8.00 |
| Tuesday | 08:30 | 16:30 | 30 minutes | 7.50 |
| Wednesday | 08:00 | 16:30 | 30 minutes | 8.00 |
| Thursday | 09:00 | 15:00 | 0 minutes | 6.00 |
| Friday | 08:00 | 16:30 | 30 minutes | 8.00 |
| **Total** | | | | **37.50** |

For Monday, the calculation is **8.5 elapsed hours − 0.5 hours of breaks = 8 working hours**. The five daily values add up to 37.5 hours: 37 hours and 30 minutes, not 37 hours and 50 minutes. Leave unused days blank.

## Record an overnight shift

Set **Next day** to **1** when the shift finishes on the following calendar day. Starting at 22:00, finishing at 06:30 and taking a 30-minute break gives eight working hours. The row’s date is the date the work started.

For work that ends on the same day, leave Next day at 0. The template handles simple daily intervals ending no later than the following day. It does not automatically adjust for daylight saving changes, and it provides one row per day. Record additional separate working intervals elsewhere.

## Spot incomplete or invalid entries

If a required value is missing, the review column shows **Missing input**. If the break exceeds the entire time interval, or the times do not match the next-day setting, it shows **Check entries**. The overall total also displays a review message while an entry needs attention. Incomplete records should not quietly disappear from a plausible-looking total.

## Check the timesheet before sharing it

1. Check the name and reporting period. On the monthly sheet, the start date must be the first day of the month you want.
2. Make sure every worked day is included and the sample entries have been replaced.
3. Complete the start, finish and actual break fields. Enter 0 explicitly if no break was taken.
4. Set Next day to 1 for an overnight shift.
5. Resolve every review message and check that the total shows a number.

For a team, a separate file for each person and reporting period is easier to manage than one shared list of everyone's hours. Agree who reviews entries, how corrections are recorded and where the reviewed copy is stored. This template does not automate approvals or reminders.

## Know what the template does not calculate

The workbook adds up recorded working hours. It does not calculate holiday entitlement, account for regional public holidays or run payroll. The total alone does not determine entitlement to overtime pay or other benefits.

If several people use the same file, agree who can view and edit each person’s information. Keep notes relevant to the record. Sensitive personal details do not belong in a general team timesheet.

## When to consider a time-tracking app

A spreadsheet can be enough to get started. An app becomes worth testing when you regularly chase missing entries, assign hours to projects or need one place to manage attendance, leave requests and approvals.

If you only need to add up your own hours, the template may be all you need. Running a team also means deciding who checks entries, following up on missing records and producing useful reports.

[See how Minutezilla works for small teams](https://minutezilla.com/en/time-tracking-smb-germany/): assign project time to customers and projects, review attendance separately and export the appropriate reports. You can also manage [leave requests and approvals](https://minutezilla.com/en/leave-management-with-time-tracking/). Leave does not need to be entered as fictional working hours in a timesheet.

## Frequently asked questions

### Are the templates free?

Yes. You do not need a Minutezilla subscription or account to use the files. You will need access to Google Sheets if you want to use them there.

### Can I use the workbook in Excel too?

The download is an Excel file. Check the sample rows and total in your chosen spreadsheet application before relying on it.

### Is there a direct Google Sheets copy link?

The current download is a file you import. It is not a hosted Google spreadsheet with a direct copy link.

### Can the template replace payroll software?

No. It totals working hours. Pay, premiums, absences and the rules that apply to your situation need to be handled separately.
