# Time tracking for small businesses: a seven-step rollout

Introduce time tracking with clear responsibilities, a practical pilot and a process your team can follow from day one.

Time tracking has to fit the way a small business works. Even a polished tool will cause problems if employees do not know when to record time or who can fix a mistake. Start with a process the whole team understands.

## 1. Decide what you need to achieve

Distinguish working-time records, attendance, project billing and leave management. They are connected, but they answer different questions. Recording only billable project hours will not necessarily capture the whole working day.

Write down a practical goal: “We want a reliable record of work start times, finish times and breaks, with a clear way to correct mistakes.” Add project categories only where they serve a purpose.

## 2. Assign responsibilities

Who enters the time? Who checks incomplete records? Who can make corrections, and who can see each type of data? Name a contact for questions. Involve an existing works council early and address privacy before the rollout.

## 3. Test representative days

Include a short day, remote work, a forgotten timer and a break taken outside the usual lunch period. When an employee changes tasks, make sure the process distinguishes switching projects from stopping work.

## 4. Explain the process clearly

A short announcement could read:

> From Monday, we’re testing our new time-tracking process. Please record when you start and finish work and the breaks you actually take. Report missing or incorrect entries to the designated contact. We’ll collect questions during the pilot and improve the process together.

Before sending it, add the actual purpose, access arrangements, retention policy and contact details. Do not promise privacy protections that your configuration does not provide.

## 5. Run a focused pilot

Choose a manageable group and a defined period. Collect specific feedback: too many project options, unclear break recording or missing permissions. Turn each issue into a decision before adding more required fields.

## 6. Test the month-end process

Starting a timer successfully is only one part of the workflow. Check that the reviewer can spot missing entries, handle absences appropriately and obtain the required report. Test how employees request a correction.

## 7. Measure the effort

Compare the time spent chasing entries and preparing reports before and after the pilot. Use observations from your own business rather than assumed savings. A short weekly review can be more useful than a large cleanup at month-end.

## Pre-launch checklist

- Document the purpose and responsibilities.
- Agree access and employee information arrangements.
- Test representative working patterns.
- Define the correction and review process.
- Keep absence records distinct from project hours.

## Frequently asked questions

### Can we introduce the process gradually?

A pilot can make adoption easier. It does not suspend any existing recording obligations. The [Federal Labour Court’s decision](https://www.bundesarbeitsgericht.de/entscheidung/1-abr-22-21/) is one source for the legal background in Germany.

### What should we test first?

Choose a normal workday and a common mistake, such as a forgotten finish time. Both should be straightforward to handle.

## Start with a small, realistic test
