The spreadsheet says someone has eight days of leave left. Three are already booked in the calendar, and another request is waiting in a chat. Which figure should you use? In a small team, asking around might work for a while. As requests accumulate, it becomes easier for people to act on different versions of the same balance.

A reliable leave process starts with agreed figures, clear requests and recorded decisions. You do not need to replace every HR process at once. Start with the leave accounts and the requests that are still open. This guide focuses on teams operating in Germany.

## Reconcile the records before changing tools

New software will not resolve conflicting records by itself. Collect the spreadsheets, approved requests and calendar notes currently in use. Agree a date for checking the figures together.

Choose one person to coordinate questions. Employees check their own records, while the coordinator compares discrepancies with the decisions already made. Mark uncertain entries for follow-up rather than hiding them inside a new total.

| Information | What to check |
|---|---|
| Leave year and entitlement | Which year do the days belong to, and what entitlement was agreed? |
| Leave already taken | Do the records match the actual absences? |
| Approved future leave | Which dates have already been approved? |
| Pending requests | What has been requested but not yet decided? |
| Regular working days | On which days would the person normally work? |
| Unresolved differences | Which entry or decision still needs checking? |

For part-time staff, the distribution of working days matters. Weekly hours alone are not enough to convert leave into days. See the examples in [calculating annual leave for part-time employees](https://minutezilla.com/en/calculate-part-time-holiday-entitlement/).

## Why one remaining-balance figure is not enough

Consider a fictional example. Lena has an annual entitlement of 30 days. She has taken 18 days, has four more approved for December and has requested another two that have not yet been decided.

Twelve days have not yet been taken. After allowing for the four approved future days and the two pending days, six days are still unplanned. Those figures answer different questions. The calculation assumes that the periods do not overlap and that the day counts already match Lena's working pattern.

| Position in this example | Days |
|---|--:|
| Annual entitlement | 30 |
| Already taken | 18 |
| Not yet taken | 12 |
| Of those, approved for future dates | 4 |
| Of those, requested and pending | 2 |
| Still unplanned | 6 |

Label each balance clearly. “Not yet taken” is different from “available for another request.” Neither figure alone establishes whether leave can legally be carried over or has expired. Use the separate [year-end leave checklist](https://minutezilla.com/en/unused-annual-leave-year-end-germany/) for that review.

## Give new requests one clear route

Agree where requests should be submitted and who answers them. A conversation can help people coordinate, but the decision should also be recorded in the agreed place. Otherwise, a suggestion in a message may later be mistaken for approval.

A simple starting process is enough:

1. The employee submits the dates and leave type.
2. The responsible person checks the account, working days and existing requests.
3. Where work would be uncovered, the team discusses possible cover.
4. The decision is recorded and communicated to the employee.
5. Changes are checked against the request, balance and team plan.

A spreadsheet or application cannot decide whose holiday preference has priority. Under [section 7(1) of Germany's Federal Leave Act](https://www.gesetze-im-internet.de/burlg/__7.html), employees' wishes must be considered, subject to urgent operational concerns or other employees' wishes that take precedence on social grounds. Inbox order does not replace that assessment.

## Test the change with one account and one request

Check an account and a new request first. Are the allocation, dates and calculated days right? Can the responsible person see the request? Does the decision appear correctly? Can you explain the resulting balance?

Walk through a hypothetical example first without booking leave in real accounts. Then accompany the next actual request from submission to decision. This lets you check the setup without mixing invented absences into the working plan.

Then agree when new requests will move exclusively to the new process. Retain the previous spreadsheet under your organisation's applicable rules and label its reference date. If people still need it for reference, it should not also remain a second live request list.

## Managing leave in Minutezilla

Team members can request leave and view their own balance in Minutezilla. Admins and managers process requests, and the requester receives a notification of the decision. Admins set the annual allocation.

Minutezilla's available remaining figure also takes pending requests into account. Approved days are booked to the leave account even when the dates are still in the future. Check individual request dates and statuses as well if you need to establish how much leave has actually been taken.

A general Excel or CSV import is not available. Allow time for setup and reconciliation. In particular, establish how existing bookings will be represented in the starting year before treating the new overview as authoritative. Entering an unchecked remaining figure as the annual entitlement can change what the account means.

## Checklist for the first agreed overview

- Choose a reconciliation date and a coordinator.
- Check annual entitlement, leave taken, future approvals and pending requests separately.
- Assign working days and leave years correctly.
- Resolve discrepancies with the person concerned.
- Agree the submission route, decision-maker and cover arrangements.
- Discuss a hypothetical example, then accompany the first genuine request.
- Communicate the starting date and label the previous spreadsheet as an earlier record.
- Compare the account and decision again after the first completed request.

Limit shared information to what people need for coordination. Private reasons for an absence do not need to appear in every team overview. Use a restricted communication channel for sensitive individual questions.

## Frequently asked questions about managing leave

### Is Excel enough for managing annual leave?

A well-maintained spreadsheet can work for a small team. Difficulties arise when several versions, chat messages and calendars are treated as authoritative. An agreed record, clear request statuses and assigned responsibilities matter whichever tool you use.

### Should we transfer only the remaining balance?

Do not carry a figure across until you know what it represents and how the new account works. Keep annual entitlement, leave already taken, approved future dates and pending requests separately traceable during reconciliation.

### Does every leave request have to be approved immediately?

Submitting a request is not approval. Assess the individual request under the applicable rules, record the decision and communicate it. A blanket first-come-first-served rule does not replace the required assessment.

### Can Minutezilla automatically import my Excel leave sheet?

A general Excel or CSV import is not available. Review the setup work and how existing leave accounts will be handled before changing your current process.
