How to calculate working hours: breaks, decimal hours and examples

Calculate working hours accurately, subtract actual breaks and handle decimal hours, overnight shifts and weekly totals.

Clock and calculator beside a timeline showing working time and a break.

If you arrive at 08:00 and leave at 16:30, have you worked eight hours or eight and a half? It depends on the breaks you actually took. To calculate your working time, you need a start time, a finish time and a record of your breaks. A calendar appointment alone does not provide that information.

The basic calculation

Net working time = elapsed time between starting and finishing work − actual rest breaks.

From 08:00 to 16:30, eight hours and 30 minutes have elapsed. Subtract a 30-minute break and you have eight hours of work. Record breaks as separate intervals if you need to review when they took place.

Start Finish Actual break Working time
08:00 16:30 30 minutes 8 hours
08:15 16:45 45 minutes 7 hours 45 minutes
09:00 15:00 None 6 hours
22:00 06:30 the next day 30 minutes 8 hours

These are calculation examples, not ready-made shift patterns. Whether a working day meets the applicable break requirements also depends on when the breaks occur.

Convert minutes to decimal hours

Seven hours and 45 minutes is 7.75 hours, not 7.45 hours. Divide the minutes by 60, then add the whole hours. Twenty minutes is approximately 0.333 hours. Keep the original time records and avoid repeatedly rounding intermediate calculations.

Include the date for overnight work

Monday at 22:00 to Tuesday at 06:30 is eight hours and 30 minutes. A spreadsheet that ignores the date change may return a negative result. When clocks change for daylight saving time, use timestamps with a time zone: the difference between two displayed local times may not equal the elapsed time.

Record the break that actually happened

Automatically deducting a break does not mean the employee took one. Record what happened and resolve any discrepancy. The general statutory rules for adult employees in Germany are set out in section 4 of the Working Time Act; special rules and exceptions may apply.

Check the weekly total

Add the net working time for each day, then compare it with the hours scheduled or agreed for that period. Leave, sickness and public holidays need to be handled separately. They should not simply appear as unexplained missing hours.

Frequently asked questions

Does time spent at the workplace always count as work?

Not necessarily. Genuine rest breaks are excluded from working time. Other interruptions need to be assessed according to their circumstances.

Should we round every entry to the nearest quarter hour?

Keep accurate timestamps. Rounding can change the result and should not be introduced into payroll or time records without checking the applicable rules.
